Lesson Eight - Set Changes and Removing Students
Set Changes
When there has been a set Change, you will often find your Seating Plan for that particular class full of students you no longer teach. These students will have an exclamation mark next to their pictures.

Click on the REMOVE button under each student that is no longer in your group. you can then manually add the new students to your plan - see manually adding students below.

You will also see on the sidebar, to the left, your new students waiting to be seated in the 'Manually Add Students' button.

Carousels
When you have a carousel, for example in Technology subjects, all the students will be replaced in a lesson. MINTclass will keep the old students on your seating plan and these will need to be removed before you can add the new students.

To remove all of the old students from your Seating Plan, on the left-hand side, click on 'Automatically Sort Students' and then click 'Remove All Students From Plan'.

You will then be asked if you are sure, click 'OK'.

This will have now cleared your Seating Plan of the previous students.

Placing the New Students
You now need to place your new group of students into your Seating Plan and there are two ways this can be done.

Manually Adding Students
To manually add your students, click on the 'Manually Add Students' button. All the new students will be highlighted in the sidebar on the left.

To put a student from the sidebar into the Seating Plan, all you need to do it drag and drop. Do this by placing the mouse over the student's photo and dragging and dropping the student into the seat you wish to place them in,

As you can see above, where the new student is about ot be placed, there is a green highlight around that seat. When you let go of the mouse, the student will be placed into that seat.

Automatically Placing Students
Alternatively, you may need to add a lot of students or populate a whole class. Under the 'Overview' tab in the sidebar, select 'Automatically Sort Students'.

You will be given a choice of ways to add all the students to the class, basic functions, and the option to create your own custom sort.

Alternative Method: Versions
Alternatively, there is another method you can use for Carousels.

You are able to have up to three different versions of Seating Plans for each class. In regards to Carousels, one version could be for class '10a/En5' and another version for class '10b/En5'.

Each version can have the same or different templates as well as different students, which is ideal for Carousels.

To start, rename Version 1 to match one of the class names. Hover over 'version 1' and select 'Rename'.

Rename the first version to the name of the first class, e.g. '10a/En5'.

All of the students will remain in those seats and this class when you are timetabled to teach this particular class.

Note: When you are not timetabled to teach this class, all students will appear with an exclamation mark next to their photos.

The Second Version
Now the first version (class) has been created, you need to create the second version.

Click on Version 2 and then hover over the first Version, select 'Copy'.

Rename this to your second class, e.g. '10b/En5'.

Now you need to remove all students from this lesson to reflect the students in the actual class.

Click on 'Remove All Students From Plan' in the sidebar to the left.

This will have removed all students from this seating plan. You will now need to manually add the students who belong to this class to your seating plan.

Click on the 'Students' tab on the sidebar in the top left and from the 'Select Class' drop down, find the class of the students, and then click on 'Run Basic Search'.

Now all you have to do is drag and drop those students into your empty seating plan.

You will now have two different classes to reflect the timetable changes, you are able to have up to three versions of one class.

Note: Dependant on which class you are timetabled for, one version (class) will always have exclamation marks next to their photos. This will apply to the other class when the timetable changes again.

All you have to do now is switch between classes when your timetable changes.

Archiving Lessons
if you wish to, you can also save these versions to your lesson archive.

To do so, click on the print icon under 'SeatPlanner' in the top left-hand side of the screen.

This will open the PDF Print Option pop up.

Now to Save it, all you need to do is click on 'Save To My Archive' in the bottom right of the pop up.

This will have now saved to your Lesson Archive. Once you have clicked Save, MINTclass will automatically open your lesson archive and show you your archived lessons.

This will enable you to print this seating plan at a later stage and then re-create it within the Seatplanner.

As MINTclass pulls data such as teaching sets and classes from your school MIS, any permanent changes to classes should be made from within your school MIS.

 

Removing Students

From time to time you may wish to remove a student from your current class, for example when a student attends a music or additional study lesson.

Hover over the student you wish to remove from the class and click on 'Remove Student' as indicated by the arrow above. You will be asked to confirm the removal of the student, click on OK.

Note: When you remove a student from a class it is for that class only, if classes are linked it still only applies to that lesson, and the student is removed until you place the student back into the lesson.

Adding Pupils to a Class
As with removing students from a class, you can add students to a class. This can be useful for a temporary change in classes or for something like internal exclusion. 

You can search for students by either clicking on the 'Manually Add Students' button on the left of the screen or by selecting the 'Student' tab from the top left of the screen.

You will need to know at least which year the student is in and then either the subject or the class (teaching set) to enable a basic search. We are going to find a student that is in a year 9 Art class to add to our current class.

Basic Search

Click the pupil tab on the sidebar then, using the drop-down boxes, select the year and subject that you wish to search on and then click on Run Basic Search.

This will display all students that are in the year and the subject that you have selected. You can now add a student to the class by drag and drop.

When you add a student to a class, that student may show a small exclamation mark by their picture as shown below:

This would usually show up when a student is in the wrong class or has left the school. If you have moved a student into a correct class and they are displaying the exclamation mark, you will need to contact your data manager so that they can update the change in your school's MIS which should remove the exclamation mark.

You can remove this student at any time by clicking on the ‘remove’ button just below the student picture. 


Note: As with removing students, adding a student to a class is for that lesson only.
